Automation of inventory control, Obyedineniye Kommunar, State Scientific Production Enterprise, Kharkov, Ukraine

Obyedineniye Kommunar, State Scientific Production Enterprise is the largest enterprise in Ukraine in the field of radio-electronic industry. It specializes in manufacturing of control systems for carrier-rockets and space devices. Alongside with the above, the enterprise manufactures a wide range of manufactured products and household goods, namely: controls system instruments for aircraft, hardware and software for team turbines control, equipment for customs inspection, equipment for railway transport, industrial and household electricity meters, water meters, welding equipment of VDUCh series and other.

Based on the results of the analysis of business needs and warehouse processes by a systems analyst, a solution was offered which allowed to track the movement of commodity stocks and supplies from one point of storage to another. Cataloguing of stocks and supplies in a number of multilevel structures was enabled as well as management of unlimited number of characteristics of different kinds of stocks and supplies.

Property values of stocks and supplies can be changed, with changes history saved and stored. This innovational solution solved the issue of warehouse batch management as well as the issue of the necessity to conduct laboratory examination of product and material samples. The solution also incorporated functionality for document-oriented accounting systems and multi-currency accounting. Based on the results of planning, the warehouse solution was developed and tested, and further successfully implemented for the needs of automation of inventory control in the plant’s storage facilities.

- Selection of EPR and Project management of ERP implementation of Dinamo-Plus Close Corporation, Moscow, Russia
  Dinamo-Plus Close Corporation is the leader of Russian electrical manufacturing industry and the leader in development and manufacture of haulage and carrying and lifting electrical equipment.
  
  In the end of 2004 Dinamo-Plus Close Corporation manufacturing industrial electric motors confronted problems in planning and carrying out of sales, planning and management of manufacture, design and manufacturing engineering support of manufacture, planning and management of supply, organization of inventory control in warehouses and workshops, lack of operative and accurate information about the state of the enterprise. The enterprise did not have an ERP system and due to this fact the management decided to select an ERP system and to further implement it. The enterprise invited IDelync consultants for assistance in selection of an ERP system and preparation of Dinamo-Plus Close Corporation for automation.
  
  In the framework of the project, the following works were completed:
  - Gathering and formalizing of tasks, purpose of and requirements to ERP;
  - Expert analysis of business processes, identification and rating of processes and requirements to be automated;
  - Identification of the selection procedure and selection criteria for the ERP system, assistance in organization of a two-stage tender(13 participants, 12 information systems);
  - Selection of an ERP system meeting the requirements of the enterprise;
  - Additionally, on request and on behalf of the enterprise, IDelync prepared a set of agreements on implementation of the ERP by an outside party, transfer of software rights, compliance with privacy requirements.
  The project resulted in a well-grounded and informed choice of an ERP system and implementor, both meeting the requirements of the company in terms of functionality and price. IDelync also assisted the enterprise in management and control of the ERP implementation project which allowed to complete all the planned works in time and within the budget. The obtained accounting system allowed to take the activities of the enterprise to a qualitatively new level as it enabled planning and monitoring of the main processes of the enterprise: supply, production, sales, design and manufacturing engineering support.

- Development and implementation of an IS for automation of operative accounting and management for MIOL Company, Kharkov, Ukraine
  
  MIOL Company is a producer of hand-held tools (air tools, equipment for service stations, etc.). The Company has a wide dealer network in Ukraine with the head office in Kharkov and it also has representatives in CIS countries.
  
  In the course of significant growth the Company was confronted with difficulties in connection with the efficiency of the operative part of the business processes. It was decided to automate operative accounting and eliminate bottlenecks in the operative processes in the course of implementation of the new system.
  
  On the basis of the preliminary examination by the Consultant, it was suggested that 1C:Enterprise "Trade Management 8" should be used as the basic solution, namely, the following modules: Sales Management, Purchasing Management, Inventory Management, Pricing, Sales and Purchasing Planning, Cash Management, Integration of 1C: Trade Management 8 and 1C: Accounting 7.7, technology of managing distributed databases, Management accounting.
  
  In order to speed up the process of customer order processing at the cost of saved time during acceptance, assembly and shipment of goods, 1C technology was used to build the business processes. For the purposes of comparison, analysis and prompt decision-making in the fast-changing market conditions, storage of the prices of suppliers, own prices and those of competition was organized and implemented. Due to the long production cycle (China) and delivery of goods, a procedure was developed to generate the need and develop sales plans with different planning horizons. Generation of purchasing plans on the basis of sales plans for a period of over 3 months.

- Automation of accounting, production records, inventory control, treasury and circulation of documents, Ehrmann Ltd, Moscow, Russia
  Ehrmann is a dairy manufacture company producing more than 200 stock items of dairy products for the markets of Russia and Ukraine, Belarus, Kazakhstan, and other countries of the former Soviet Union.
  The objective of this project is to increase efficiency of information support systems of key business processes and financial and management accounting. The main ERP system, SAP R/3, was selected and adopted for automation of accounting and inventory control and organization of production scheduling. Integrated systems of OLAP management accounting and a corporate portal were implemented in the capacity of information solutions enabling support of business processes of purchasing and sales as well as internal circulation of documents within the corporation. In the course of the realization of the project, formalization and analysis of the core corporate business processes was being carried out as well as their optimization, development of new processes and procedures, in particular the corporate pricing policy, operative planning of cash flow, etc.
  
  The project resulted in successful implementation of SAP R/3 system within the subsystems of SD (sales and warehouse), MM (purchasing), FI (finance), CO (controlling), AA (fixed assets management). In the course of the project, a single storage of reference data was developed for all systems of the company, as well as an internal corporate portal integrated with this storage.
  
  The offered solutions allowed to organize integration of accounting systems on different platforms (1С, SAP R/3, Felix), to ensure integrity and consistency of corporate data, to offer the company’s users a unified entry point for work with information solutions of the company. Integration of accounting and management systems of the company (1C, SAP R/3) with the client-bank system performed in the course of the project allowed to improve the function of operative control of cash assets.

- Optimization of the system of financial and management accounting, Ehrmann Ltd, Moscow, Russia
  
  Ehrmann is a dairy manufacture company producing more than 200 stock items of dairy products for the markets of Russia and Ukraine, Belarus, Kazakhstan, and other countries of the former Soviet Union.
  
  The main objective of this project was optimization of the process of preparation of financial and management statements. This work included development of methodology and an internal standard of maintaining a data warehouse, development of a structure of a data warehouse, its integration with SAP R/3, Warehouse Management System, 1C and procedures of support and updating the data. Further to this, on the basis of the managerial data warehouse and with help of OLAP technologies, designing and implementation of a management accounting system were performed. Optimal contents of the forms of management accounting was identified, the methods of their organization were developed, use of the information systems supporting them by users.
  
  In the course of the project, a managerial corporate data warehouse was developed which became the source of a uniform reference system for all company’s systems as well as an internal corporate portal integrated with the managerial storage.

- Arranging and automation of management, tax and business accounting, accounting of the Group under IFRS, West Siberian Resources Ltd Group of Companies, Russia
  
  West Siberian Resources Ltd (WSR) is an oil company with assets in the territory of the Russian Federation. The company owns assets in three main oil-rich regions- the Western Siberia (Tomsk, a cluster of VTK companies), Timano-Pecherskiy (Moscow and Usinsk, PechoraNeft Public Company) and Volgo-Uralskiy (Samara, Saneko Close Corporation). The total volume of reserves as of 31.12.2006 is estimated at 444.9 million barrels under SPE classification. In the first quarter of 2007, the total production volume made up 25,163 barrels.
  
  In the beginning of 2008 a merger was performed between West Siberial Resources and Alliance Oil Company, as a result of which an integrated oil company was organized with production facilities in the sectors of prospecting/extraction and processing/ sales. Starting from July 2009 the name of the company is Alliance Oil Company Ltd.
  
  During more than four years of cooperation, about 10 different projects were performed in automation of the functions of financial, management, business and tax accounting, IFRS-compliant accounting, personnel records and employees’ payroll preparation as well as preparation of varied management statements (including consolidated statements).
  
  The preliminary analysis of business processes and the condition of accounting of the Group allowed to draw a phased plan of automation. In the first place, it was necessary to perform implementation and automation of the processes of budgeting, business and tax accounting, inventory control for West Transnational Public Company (the leader company of the Tomsk cluster), operating management of which was performed from the group’s Moscow head office. In the framework of this project, works were carried out in development and description of regulations and policies of accounting, documentation of business processes, personnel training. This approach enabled to carry out development and implementation of a unified informational solution which would allow the Group management to achieve a clear manageable process of financial control and management of activities of an affiliated company within the most suitable for the enterprise timeframe, and with proper quality. The solution was implemented for all companies of the Tomsk cluster.
  
  Further to this, on the basis of the unified informational solution, the task of implementation and automation of accounting under IFRS was completed. The obtained solution allowed to substantially decrease working hours required for preparation of IFRS-compliant statements, increase the quality of the accounting itself, simplify the process of auditing of financial statements in compliance with the international standards.
  
  The unified solution on implementation and automation of budgeting processes, IFRS-compliant accounting, Russian business and tax accounting was replicated and implemented in other enterprises of the group: Pechoraneft Public Company, Usinsk City, Saneko Close Corporation, Samara. Moreover, corresponding business requirements were taken into consideration and additionally realized for each company within the Group: responsibilities of the treasury, the system of operating inventory control of inventory items of central and remote warehouses, personnel records and payroll preparation.
  
  At the final stage of building of the Group’s Unified Information System, a solution was developed for preparation of consolidated group statements under IFRS, which had been tested by the official auditors of the group – PricewaterhouseCoopers, which resulted in a submission of a positive report on the testing of work of the IFRS-compliant accounting system by the Department of control of systems and business-processes.

  The project included development and implementation of a management information system for building projects of a general building and construction contractor. The project management system allowed to fully automate the everyday business-processes of the company in management of relationship between the customer, the general contractor and the subcontractor.

- Automation of management accounting and optimization of business process of sales and logistics for Torgovyi Dom “Slobozhanka" Ltd., Kharkov, Ukraine
  
  Torgovyi Dom “Slobozhanka" Ltd. Company (further referred to as TDS or the Enterprise) is an importer and distributor of famous brands of cosmetics, hygiene products and household goods. Using its well developed structure, TDS sells its clients a wide range of cosmetics and hygiene goods under famous brands from Polish, Russian, Ukrainian and Chinese producers in wholesale.
  
  The objectives of this project were increasing efficiency of the operative and management processes of the Enterprise as to the functions of accounting, management and control by means of automation.
  
  Taking into consideration the continuous operating regime of the Enterprise as well as rather complicated issues connected with the necessity of fast and quality organization of loading processes solved by the logistics, the main task to be solved for the purposes of the operative accounting was optimization of the processes of order processing, preparation of required shipment documents, loading of trucks and their dispatch.
  
  Based on the preliminary examination and the analysis of the business requirements of the Enterprise, the Consultant recommended to switch from Granit information system to an ERP-class system on the basis of 1C Enterprise 8. The 1C configuration of “Management of a manufacturing enterprise" was chosen as the basic solution. The business process was implemented in an integrated system of operative and management accounting to manage the servicing of customer orders, which includes the tasks of documents preparation, shipping and warehouse logistics and control of the shipment confirmation. In order to optimize the order-taking system, a wide range of integration features with the outer sources (Emigo, Exite, EXCEL, pocket computers) was implemented in the system also featuring an implemented pricing process by the brand and customer as well as the mechanism of control of accounts receivable by the brand and date. The implemented solution encompasses all spheres of economical activity of the Enterprise and allows to keep records of its fixed assets, calculate the administrative salary, Customer Relationship Management (CRM) and obtain financial reports covering any period of interest (including those on a daily basis). The following reports have been implemented in the block of financial reports: Profit and Loss report, Cash Flow report, Balance statement. The single system of management accounting is integrated with the systems of bookkeeping for further preparation of regulated accounting, it has also been integrated with the Client-Bank system.

- Automation of preparation of financial statements in compliance with the IFRS for SUP and +SOL, a group of internet companies, Moscow, Russia
  
  The prime objective of the project was to provide the management of the Group with an easy-to-use and effective toolkit for preparation of financial statements in compliance with the IFRS requirements.
  
  As the result of realization of the project on "Automation of preparation of financial statements in compliance with the IFRS", a functional meeting the customer’s requirements was developed and implemented.
  
  The financial statements are built of the basis of the date of the IFRS sub-system. The initial data is translated into the IFRS subsystem from the business accounting subsystem in accordance with adjustable rules. Accounting in the IFRS sub-system is carried out in a separate chart of accounts, which allows to use standard reports such as a turnover balance sheet, account sheet, etc., customary for the users working with 1C software. The IFRS sub-system uses the same reference data as the managerial sub-system, which allows to receive the same analytic data both in management and IFRS accounting.
  
  Experts of the Group’s financial service can make adjustments directly in the IFRS subsystem and transform the data resulting from translation from the sub-system of business accounting automatically according to the pre-set transformation rules. Document flow in the IFRS sub-system is built in such manner that each accounting document has a corresponding financial one, which allows to preserve the audit trail. The process of generation of single-type monthly adjustments to the reports is also automated. The mechanism of input and storage of templates for adjustments has been implemented.
  
  Template reports which can be adjusted independently by the system users are used for preparation of statements. Thus, if necessity to prepare a new report arises, no interference of the developers is needed. The reports prepared within the system can be easily transformed into Excel file format, which simplifies further preparation of the final variant of the document both for internal and public needs.

- Optimization of telecommunication expenses for Raiffeisen Bank Aval, Kiev, Ukraine
  Raiffeisen Bank Aval is one of the biggest banks of Ukraine with a wide network of branches. It boasts a long list of banking services rendered to the bank’s clients via the nation-wide network, which includes up to 1000 structural departments working in all regions of Ukraine.
  
  In 2007 Raiffeisen International Bank –Holding AG conducted a complex international project aimed at decreasing telecommunications expenses and optimization of the group’s telephony expenses. Implementation of this project as one whole is performed by Devoteam Group, the largest European consulting group.
  
  IDelync’s experts were invited to conduct works under this project in Ukraine to assist in troubleshooting of the current state and preparation of a programme aimed at decreasing communications expenses of all branches of the bank in Ukraine.
  Works in the framework of the project:
  - comprehensive data analysis of the condition of the bank's telephony (documents, contractual relations, the architecture of the network, expenses);
  - gathering data on market tariffs of landline and mobile communication in Ukraine; expert analysis of corporate business offers;
  - finding possibilities to decrease tariffs and optimize the communication architecture;
  - preparing recommendations as to reducing communications expenses;
  - developing an applied model of use of the technical solution to utilize additional equipment (GSM-modules) to save communications expenses.
  On the basis of the Project the bank was prepared by the Consultant for conducting balanced, purposeful negotiations with the largest national operator of landline communications regarding the tariff policy and discounts. The direction of implementation of alternative technical solutions suggested by the Consultant aimed at optimization of communications expenses was also performed, which allowed to quickly achieve an effective decrease in telephony expenses at the first stage of implementation.

- Analysis of the telecommunications structure and communications systems for UkrSibbank Stock Company, BNP Paribas, Kiev, Ukraine
  UkrSibbank is one of the most dynamically developing multipurpose banks on the Ukrainian market. The bank is a member of the international BNP Paribas Group, which takes the first place among foreign banks represented in Ukraine in terms of assets, net profit and market capitalization.
  
  The objective of the project is to decrease telecommunications expenses by means of reorganization of telecommunications architecture of the bank network and the telecommunication channels.
  
  The project included troubleshooting of the parameters of the existing network as well as a corresponding assessment of the prospects and possibilities of implementation of a renewed format of multiservice networks with implementation of VOIP telephony and a single service numbering plan. A competitive analysis of tariffs and prospects in Ukrainian market in the field of network communications and routing was performed as well.
  Works performed within the framework of the project:
  - comprehensive analysis of the data reflecting the state of operator communications of the bank (documents, contractual relations, the architecture of the network, expenses);
  - data analysis on the internal technical condition of the architecture of the bank, communications equipment and the condition of IP-telephony; analysis of the numeric field of land-line communications in Ukraine;

  Mebelnyi Kapitan designs and produces cabinet furniture both to individual orders and in mass production. In 2006 and 2007 the company renewed and purchased additional equipment, which led to a significant increase in qualitative characteristics of the produced product.
  
  The growth of production volumes in Mebelnyi Kapitan in its turn made the issue of achievement of high quality characteristics of each order burning. A Consultant was invited for the purpose of optimization of business processes of operative accounting with its further automation. The Consultant suggested to implement the operative accounting on the basis of 1C:Enterprise 8.
  
  The business processes of raw material purchasing, warehouse logistics, sales and production planning and selling were analyzed and optimized. A MIS on the basis of 1C:Enterprise was implemented to automate the operative accounting in warehouses, at production facilities, of bookkeeping and tax accounting, management accounting. Besides, differentiated access of users of different categories to the MIS information was implemented. On the basis of the MIS data, all units of the client Company receive required reports, including management reports on analysis of financial results of the Company’s activity.

Mobile communications and services in telecommunications
- Development and implementation of a billing system and a management accounting system for Communications and Technology Ltd., Poltava, Ukraine
  Communications and Technology Ltd. (further referred to as the Company) provides its customers with economically efficient telecommunications solutions by means of using modern technologies of services in the field of utilization of mobile and landline communications as well as IP-TEL.
  
  The objective of the project is to decrease telecommunications expenses by means of reorganization of telecommunications architecture of the bank network and the telecommunication channels.
  
  The project included troubleshooting of the parameters of the existing network as well as a corresponding assessment of the prospects and possibilities of implementation of a renewed format of multiservice networks with implementation of VOIP telephony and a single service numbering plan. A competitive analysis of tariffs and prospects in Ukrainian market in the field of network communications and routing was performed as well.
  Works performed within the framework of the project:
  - comprehensive analysis of the data reflecting the state of operator communications of the bank (documents, contractual relations, the architecture of the network, expenses);
  - data analysis on the internal technical condition of the architecture of the bank, communications equipment and the condition of IP-telephony; analysis of the numeric field of land-line communications in Ukraine;
  - gathering data on tariffs and covering on the market of network communications and routing of Ukraine, expert analysis of corporate business offers;
  - cross-evaluation of market presence of vendor suppliers of machinery as well as integrator companies on the market of network communications and routing;
  - developing suggestions as to changes in the organizational structure and a new informational and technical architecture for purposes of implementation of a multiservice network, a single numbering plan and a service call-centre.
