Realization of projects of comprehensive automation of management accounting is performed stepwise in the following sequence:

Stage 1. Pre-project examination (analysis).

The purpose of this stage is to indentify and agree with the key experts on business requirements to the system being developed, functionality of the solution and automation project results in general, work out proposals on selection of a platform and configuration for realization of the system. Special attention in development of the system of operative accounting is paid to the issues of potential use of the data of this system as a source for the future system of management accounting.

Stage 2. Preparation of the “Project vision” document.

On the basis of the pre-project examination, IDelync’s experts together with the Client’s key specialists prepare “The Project Vision” document. The purpose of this stage lies in formalization and recording the understanding of the main Project parameters aimed at comprehensive automation of operative accounting, achieved at this stage of examination.

Description of the following sections can be found in the “Project Vision” document:

• The structure of the Solution in terms and objects of the selected platform and configuration;
• The list and description of the realized functional of the Solution as well as deviations from the base performance capabilities of the selected configuration;
• The necessity and the level of integration of the proposed Solution with other information systems (Client-bank, Web-application, OLAP-reporting, etc.)
• Recommendations on provision of (optimization) required hardware and technical resources for optimal operation of the Solution.
• Stages, time-frames and budget of the Project’s realization.
  

Stage 3. Design, setup and adjustment of the information solution.

The following tasks are realized at this stage:

• Methodological adaptation of regulated processes, document flow and reporting;
• Designing changes in the information solution, their realization in the system;
• Setup and creation of a prototype for adjustment and checking of correct realization of accounting and reporting of the obtained solution;
• Initial fill of the information solution (fill of reference data, transfer of the original remainders).

Subsequent to the results of this stage, the information solution is formed on the basis of the selected typical configuration or IDelync’s own decision, adjusted to the needs of the enterprise, in accordance with the current requirements to automation, defined at the stage of Pre-project examination. The obtained information solution is handed over for beta testing.

Stage 4. Beta testing and user consultation.

The purpose of the stage of beta testing is full scale testing of the realized settings and performed adjustment of the information solution, with close support of a Consultant over the whole of the agreed period of time. At this stage the enterprise’s employees are maximally involved into work with the obtained information solution, receiving all required consulting support from the Consultant and learning the peculiarities of work of the information solution.

Stage 5. Productive operation of the information solution and post-project maintenance.

Upon successful completion of the stage of beta testing, an information solution is handed over to productive operation. The enterprise’s experts independently operate the information solution turn to the Consultant only when necessary.

System migration. In the event when certain information solutions have become obsolete and do not meet the company’s requirements any more, the question arises of changeover to a new, more technological platform or solution. Moreover, IDelync has developed a generic integrable module for accounting systems on the basis of 1C:Enterprise, namely from 1C:Enterprise 7.7 to 1C:Enterprise 8. As a result of migration, the Company receives not only a more up-to-date and more efficient solution, but it can also automate processes not covered earlier.

Delync suggests to perform migration to other software products stepwise:

• Architectural, analytical and business audit of existing IT systems. These works are performed for assessing the current condition of systems and receiving information for selection of a new system. Simultaneously we carry out gathering of business requirements to the new solution, which allows to foresee all the necessary modules in the new solution;
• Selection of technologies for migration of IT systems. At this stage, technologies for performing works of migration are selected and designed. In case migration is expected from different configurations of 1C:Enterprise 7.7 to 1C:Enterprise 8, IDelync utilizes proprietary module tested in numerous projects;
• Development and setup of the migration mechanism and its further testing;

• External project management for the Client’s benefit   

The transfer of control functions and project administration to an outside organization specializing in this area allows to form up cooperation with the Contractor for the Company’s benefit, relieve staff members of additional load, decrease material costs and time expenditure in projects management.

Within the framework of this service, IDelync forms a project team consisting of a project manager, system analysts and expert analysts of the subject field. The experts develop a required and adequate packet of documents using their experience and methodological bases of specialized technologies (for example, the Rational Unified Processes technology). In accordance with the developed documents, worked out regulations and procedures, IDelync performs operating control at all stages of the project’s life cycle, including arrangement of contractor work and feedback on project realization progress to all persons in question.

In case when the service of “External project management for the Client’s benefit” is provided, the managing company, among other things, bears material responsibility for successful Project realization.

• Organization and monitoring of project work

The need for this service may arise in the event the project works are carried out by the experts of the Company itself or by force of an outside Contractor, who do not possess adequate knowledge of and experience in project management. In the context of this service, our experts offer assistance to the Project Team, Project management from the side of the Client as to effective organization of Project works, timely control and management in order to ensure realization of the Project within the set time-frame and of appropriate quality.

IDelync develops and submits to the Company a document called “Organization of project work”, containing the required and adequate list of project documents and their templates , regulations and procedures necessary to organize effective and transparent cooperation between the Client and the Contractor in the course of the work on the Project and monitoring of the progress of its realization.

IDelync also monitors compliance of project teams with the developed procedures, as well as the Project’s progress. Subject to agreement with the Client, monitoring of the Contractor’s operating time and man-hours to be paid for can also be performed.

In contrast with the service of “External project management”, the main responsibility for the result of the project’s realization is born by the teams of executors (the Company’s or the Contractor’s internal experts).

• Audit of project management quality

Audit of project management quality will allow the Company to receive an independent expert judgment on Project management quality, identify weak points in project activities, identify the most substantial risks to this Project and receive recommendations regarding realization of required actions for improvement of the situation, taking into consideration the current requirements and priorities of the Company.

As a part of this service, IDelync gathers information covering the areas characterizing the Project management quality and submits a report on all of the areas under consideration to the Company, gives specific recommendations as to their optimization.

Audit of project management may be performed once only at a certain stage of the Project’s realization (e.g., at the stage of planning of introduction of an information system or at that of taking a decision regarding change of the Executor) or on a periodic basis during the whole period of the Project’s realization. Our experts in cooperation with the key interested persons of the Project determine the optimal way to conduct the audit, and the recommendations made on its basis allow to significantly increase the effectiveness of the funds invested into the adoption of the information systems.

As a part of this service our system and business analysts carry out the following operations:

• Defining the concept of the future solution. This is necessary for clear identification of a general vision of a product, identifying the circle of interested persons and key users of the solution.
• Gathering business requirements. When gathering requirements, we collaborate with client who ordered the IT solution, its future users and other interested persons. Gathering of requirements is performed in connection with the main business processes of the company, related to the future product. In order to perform these activities, our experts use different methods: interview, focus-groups, studying documents and existing IT solutions, prototyping, etc, taking into account the specifics and tasks of each specific project.
• Analyzing business requirements. All the requirements received during the gathering stage, go through the analysis stage, the main objective of which is to receive a clear structured list of unrepeated requirements, whose realization will allow in the future to design an IT-solution of required and adequate functionality. Determining priorities for all requirements will allow to focus on issues more important for functioning of the solution, and satisfy the maximum number of goals without widening the scope of the project or budget deficit.
•  Provide the document “Client’s business requirements to automation”. In this document the Client receives a structured and ranked list of business requirements, resulting from gathering and analysis.

The received list may be used as the basis for designing and developing an IT-solution, as a list of criteria for choosing an IT solution and a contractor. Nevertheless, the further works themselves can be performed by forces of the Client, outside contractor or IDelync, under a separate agreement.

If the gathering and analysis of business requirements are conducted as a part of an automation project, then the design and development of the future IT solution are carried out on the basis of the received list. When solving the task of selecting an IT solution or a contractor, the received list of requirements is used as an enumeration of required parameters for assessment of functionality and work hours required for development and implementation of these solutions. Moreover, under a separate agreement with the Client, IDelync offers to additionally work out in detail the procedure of selecting a solution, the list of selection criteria, perform assessment of expenses for development and implementation of the system.

IDelync offers services of independent assessment and assistance in selection of IT solutions meeting Customer’s requirements. As a part of the services of assessment and selection of IT solutions, IDelync’s experts perform gathering and analysis of requirements to automation, in particular, they identify the purpose and the objectives of automation, analyze business processes to be automated. Then, together with the Client’s responsible persons, the key selection criteria for the IT solutions are identified (price, functionality, usability, IT criteria), as well as the members of the committee taking part in the selection procedure.

All proposed IT solutions go through the analysis procedure according to the predetermined criteria. IDelync’s experts record all stages of selection and analysis in the form of a protocol, conduct additional interviews with the committee members and submit conclusions on assessment of each of the proposed IT solutions as well as their own recommendations as to selection of a solution optimal for the company. Considering the fact that the process of the finance plans preparation involves many services of the company(Centre of Financial Responsibility), the solution allows to prepare finance plan templates in Excel and download them to the treasury module upon the filling of the budget by the supervisors.

• Short-term payments planning – payment schedule, requests for funds application

The payment schedule is created in the system by the Treasurer and is an optimal tool for distribution and payments control on the daily basis taking into account the payment schedule and availability of funds. The Treasurer takes the decision regarding the payments for the next several days on the basis of the Payment schedule, indicating which requests for payment will be finalized on which day and from which settlement account. At the same time, this document is the ground for drawing up the Payment Register document. The document has the functional for fast and convenient correction of payments. Moreover, it features the tools necessary for online processing of the document: group processing (for fast changes in properties of several payments at the same time), operating corrections (changes in the reflection of company’s financial situation in the overall balance) and snapshots (records of the financial condition of the company at a particular moment with further reconstruction of the whole picture for analysis of correctness of work of the financial service in general).

• Storage of the versions of the payment schedule, facilities for their comparison for choosing the best option

The snapshots of the financial condition are intended for saving the interim results of settlement accounts taking into account the payments. The Treasurer, recording the versions, demonstrates the results achieved at the moment of the snapshot. Later, these can be used for analysis of the payments planning process. The reports also allow to choose the snapshots (below referred to as versions) and show the condition of the payments at the moment of the version creation.

• Approval of payments

The approval process takes place upon agreement of all payments. Then the approved payment register is created. The main schedule and registers may have specifying schedules and registers.

The Payment Register is the document to be approved and acts as the final point of payment planning. Upon approval of the document, it is impossible amend the requests for expenditure included into this payment register and payment schedule, on the basis of which the payment register was created.

The payment register contains payments which will be performed on the date of the payment.

The typical product on which information solutions of domestic enterprises are based is 1C. Taking this fact into account, we can identify the issues the enterprises of the Company are most frequently confronted with:

At the same time the receiving base provides for manual adjustment of the entries of the downloaded transactions under the condition that the changes are protected from corrections in the event of repeated data updating in relation to this transaction.

It is worth noting that use of the integration module when the enterprise is being transferred from the systems of the basis of 1C 7.7 to 8.1, allows not only to transfer the breakdown of balances in a fast and quality manner (i.e. account balances as of a certain date) but also to ensure complete transfer of the turnover of accounts for any data period in the current accounting system. This kind of approach allows to perform the transfer from one accounting system to another saving the possibility to prepare regulated reports covering the whole accounting period, regardless of the date of first use of the system.

The essential condition for the companies trying to attract foreign investment is preparation of IFRS reports. It is extremely important not just to obtain the reports, but rather make these reports an effective tool for analysis and support in taking management decisions.

Building the IFRS accounting model in the Company contains several stages:

• Developing the accounting policy of the Company. • Necessary alterations and missing primary information are added into the IFRS prime records obtained in the manner described above;
